Managing company files and categories

Where policies, forms, and documents live. How everyone finds and downloads files, and how admins add categories, upload, and delete.

Files is the shared home for your agency's policies, forms, and documents. Everyone can browse and download; adding categories, uploading, and deleting are limited to the right roles. You'll find it under Files in the dashboard, described as "Manage company files, policies, and documents."

Find and download a file

Anyone on the team can open a file they need — no special permission required.

  1. Open Files from the dashboard.
  2. In the left rail under Categories, pick a folder — for example "Policies & Procedures", "Onboarding", or "Offer Letters" — or click All Files to see everything.
  3. Find the file you want and download it.

That's the whole thing for most staff: open, find, download.

Add a category (folder)

Categories are the folders that keep Files organized. Only an Admin or Super Admin can create them.

  1. Click Add Category.
  2. Enter a Category Name and a short Description.
  3. Save. The new category appears in the left rail for everyone.

Set these up before a big upload so documents land in the right place instead of a catch-all.

Upload a file

Uploading is open to Admin, Super Admin, Director, and Manager roles.

  1. Click Upload File.
  2. In the modal, choose a Category *.
  3. Select the File * from your device.
  4. Optionally set a Display Name (optional) so it reads clearly in the list.
  5. Upload.

Once it's up, everyone can download it.

Delete a file

Deleting is limited to Admin and Super Admin. When you delete, Enmantle asks you to confirm because it can't be undone. There's no automatic cleanup or retention timer — files stay until someone removes them on purpose, so review old documents from time to time.

Set up a PDF for signing

If your agency has the E-Signature System feature turned on, admins get an extra option on a PDF: a gear labeled Configure E-Signature Fields. Use it to place signature, initials, and date fields exactly where they belong on the document.

Files vs. announcements

A quick rule of thumb: put lasting documents people return to — handbooks, forms, policies — in Files. Use announcements for the news that a change happened, and link the file from there. That way the document has one home and everyone knows where to look.
