Logging HPC transportation vs. NMT

When to use HPC transportation versus NMT, how to log a trip on the shift, and how per-trip and per-mile both flow into billing.

Transportation gets logged right on the shift, alongside your clock-in and your note. There's one Transportation Log dialog — you pick a Trip Purpose * and the dialog shows the fields that purpose needs. HPC transportation and NMT bill differently and the county board expects them kept apart, so choosing the right purpose matters. This guide covers which one to use, how to fill it in, and how the trip turns into a billable line.

HPC transportation vs. NMT

They're the same dialog but not interchangeable — they cite different rules and require different fields. Pick the right Trip Purpose * before you fill anything in.

  • HPC transportation is transportation you provide as part of a Homemaker/Personal Care shift (OAC 5123-9-24) — you're already supporting the person and a trip is part of that support.
  • NMT (non-medical transportation, OAC 5123-9-18) is logged as its own service. It has two purposes — NMT (per trip) and NMT (per mile) — covered below.
  • Two more purposes round out the list: Administrative and Personal / dead-head.

If you're unsure which applies to a given person, check their service authorization on the client's 360 profile or ask your coordinator. Logging a trip under the wrong purpose is a billing correction later, so it's worth getting right the first time.

Log the trip on the shift

You add transportation from the shift you're already working — you don't go to a separate screen.

  1. On the Time Clock, find your active time-clock entry and click Log Transportation. This opens the Transportation Log dialog.
  2. Pick your Trip Purpose *. The dialog shows the fields that purpose requires.
  3. Fill in the vehicle and trip fields — Vehicle Type , Vehicle Name , License Plate (required for HPC and NMT), Riders, Starting Location , and Destination .
  4. Enter Start Miles and End Miles . Miles fills in for you (read-only) as End − Start on the odometer.
  5. Click Add Trip to save it to the shift (use Save Changes when editing a trip you already logged).

You can log more than one trip on a shift — for example, a trip out and a trip back count separately.

Addresses and mileage

As you type Starting Location or Destination , Enmantle suggests matches from Smarty (SmartyStreets) and your agency's saved address book, so you can pick the real place instead of typing it all out.

Mileage is odometer-derived, not calculated from the addresses. Read the vehicle's odometer at both ends of the trip, enter Start Miles and End Miles , and Miles computes as End − Start.

Miles is only as accurate as the readings you type, and it's what a per-mile trip bills on — so enter the real odometer numbers.

Per-trip or per-mile

For NMT, per-trip vs. per-mile is simply the Trip Purpose * you choose:

  • NMT (per trip) bills a flat amount for the trip regardless of distance.
  • NMT (per mile) bills on the odometer mileage — the Miles computed from Start Miles and End Miles .

Pick the purpose that matches how the service is authorized for that person. Your job is to log the trip accurately: the right purpose, the right locations, and honest odometer readings. Enmantle applies the correct rate from there.

It feeds billing automatically

Once a trip is saved on the shift, its data flows into billing the same way your time and notes do — you don't re-enter it anywhere. Because the trip is tied to the shift, it's also tied to the person, the date, and the staff member — so if a claim is ever questioned, the trip is documented in context. One thing to know: once a billing period is locked, its trips lock with it — you can't edit a trip that already sits inside a locked period.
