Adding a staff member and choosing a role

Create a staff account on Enmantle: generate a password, pick the right role, assign locations, and — for DSPs — link their clients.

New staff don't sign themselves up. On Enmantle, an admin creates each account directly — there's no email invite to send. You fill in a short form, the system makes a password, and you hand the new hire their login. This guide walks through the whole thing.

Staff management lives under User Management at Users. (The Team page is just a placeholder — everything you need is under Users.)

Open the new-user form

  1. Go to User Management. You'll see search and filters for Role, Location, and Status.
  2. Click Add User. This is available to admins and above.
  3. The Create New User form opens.

Fill in the account

  1. Enter First Name , Last Name , and Email Address *. These three are required.
  2. Add a Phone Number if you have one.
  3. For Password *, click Generate to create a random 12-character password — or type your own.
  4. Choose a Role * (see below).
  5. Select one or more Location(s) from the multi-select.
  6. Set a Hire Date if you know it.
  7. Save.
Hand the new hire their email address and the generated password. They'll change it themselves after their first login, so you don't need to remember it.

Pick the right role

The Role * dropdown offers five choices, from most access to least:

  • Super Admin — full owner of your account. The only role that sees Workspace and Tenant Settings, Maintenance Mode, and can add custom apps.
  • Admin — nearly full access. Manages users, locations, clients, and announcements; approves expenses; uploads paychecks; runs the LMS. Can create and edit users, but not delete them.
  • Director — like Admin, minus creating users and uploading paychecks.
  • Manager — scoped to their location. Manages their location's team, approves that location's expenses, creates and edits clients there, and posts announcements.
  • DSP — the front-line default. Clocks in, works their own clients, tracks their pay and expenses, takes courses, records medications, and submits complaints.

There's also a Client role for the minimal case, and you can layer finer permissions on top of any base role. See Understanding roles and custom access roles.

Assign clients to a DSP

When you set the role to DSP, a Client Assignments section appears on the form. This is where you link the specific people that DSP will support. Pick their clients here so their caseload is ready before their first shift.

For any other role, this section stays hidden — you don't need it.
