Creating and sending offer letters
Record an offer for a new hire: fill in position, pay, and start date, save it as a draft or mark it sent, and edit or delete while it's still a draft.
Offer letters let you record the terms you're offering a new hire — position, pay, start date — in one place. This guide covers creating one, saving it, and sending it. Offer letters are admin-only.
Open Offer Letters (/dashboard/offer-letters) and click Create Offer Letter to start.
Fill in the offer
The form captures the terms of the role. Required fields are marked with *:
Employee *— the person you're making the offer to.Position *andDepartment.Employment Type *— Full-Time, Part-Time, PRN (As Needed), or Contract.Start Date *.Pay Type— Hourly or Salary — andPay Rate.Reports To,Location, and anyAdditional Terms.
Fill in as much as applies. The optional fields — department, reports-to, location, additional terms — are there to make the offer complete and clear.
Save a draft or send it
You have two actions:
- Save Draft — keeps the offer as a draft you can come back to and change.
- Send Offer — moves the offer's status from
DrafttoSent.
Every offer carries a status badge so you can see where it stands: Draft, Sent, Signed, or Declined.
What "Send Offer" does today
Be clear with your team about what sending an offer does right now: it records the offer and marks it Sent. There is no e-signature, PDF, or email step yet — the new hire doesn't receive or sign anything through this feature.
Send Offer is a record-keeping step, not a delivery step. Communicate the offer to your hire the way you normally do, and use this to track that it went out.
Edit or delete
What you can change depends on status:
- Edit — allowed until an offer is signed. Once it's
Signed, editing is blocked so the accepted terms can't be altered. - Delete — allowed only while the offer is still a
Draft.
So if you need to correct something, do it before the offer is signed; and clean up an offer you no longer need while it's still a draft.
After the offer
Once someone's coming aboard, get their account and onboarding ready. Create their user account and role in Adding staff and setting roles, then start their onboarding in Assigning and tracking staff onboarding.
