What does a new hire's onboarding checklist look like?
A new hire's onboarding lives in My Onboarding Journey, grouped into phases — Pre-Hire, Day One, First Week, First Month, and Ongoing — worked top to bottom. Each task is either Available, with a Complete button, or Blocked, naming what has to happen first; finishing one often unlocks the next automatically, including any tied to a course, which completes itself the moment the course is passed.
Behind the scenes, an administrator builds this checklist from a reusable template: each task carries a party (New Hire, Admin/HR, Director of Ops, Manager, Scheduling, or System), a phase, optional dependencies on other tasks, a linked course, review documents, and a DODD compliance-rule tag. Assigning a template to a person creates their own dated checklist in one action — it creates the tasks, auto-assigns linked courses, emails the new hire, and logs everything to the audit trail. Team Oversight shows every hire's overall status — Not Started, In Progress, Stuck, or Completed — so nothing sits unattended.
How do e-signatures and offer letters work?
Whenever a document needs a signature — a policy, an onboarding form, an offer — it lands in the recipient's My Signatures list. Every signature on Enmantle is hand-drawn: no typed or auto-generated signature. A Whole-document request is one signature after ticking an agreement checkbox; a Field-based request has the sender place SIGNATURE, INITIALS, and DATE_SIGNED fields on the PDF for the signer to fill exactly where placed, and Enmantle merges the marks into a final signed PDF. Sending a request means picking documents from your Files, choosing the staff to sign, and optionally setting a due date; each request tracks Pending, Signed, Declined, or Expired.
Offer letters are a separate, simpler record: an administrator fills in position, pay type and rate, employment type, and start date, then saves it as Draft or marks it Sent — a record-keeping step, not a delivery step, since there's no e-signature or email built into sending an offer today.
How does adding staff and setting access fit in?
An administrator creates every staff account directly — there's no email invite to send. Fill in the name, email, and a generated or chosen password, pick a base role (Super Admin down to DSP or Client), assign locations, and for a DSP, link their clients so their caseload is ready before the first shift. On top of a base role, a custom access role fine-tunes access module by module — None, View, Default, or Full — with per-action allow/deny overrides for things like expenses or paychecks, built from presets like Scheduler or Admin (no Billing).
Once signed in, a staff member can turn on Biometric Login to sign in with Face ID or a fingerprint instead of a password, adding each device they use from its own Settings screen; removing a lost device only removes that passkey, never the underlying account.
How it works in Ohio
Enmantle is built for Ohio IDD and home-care agencies, where a new hire's paperwork and training record are exactly what a county board or a DODD review asks to see. Tagging an onboarding task with the DODD compliance rule it satisfies, and attaching the review document or course that proves it, is what turns a checklist into an audit-ready record rather than a to-do list.
A day with it
HR assigns a new hire the agency's standard DSP template the same day an offer is signed elsewhere. The action creates a dated checklist, emails the new hire, and auto-assigns the required courses. On Day One, the new hire signs their acknowledgment forms in My Signatures — drawing each signature by hand — and a blocked orientation task opens automatically the moment HR's account-setup task closes out.
By the end of First Week, Team Oversight shows the hire at In Progress, with one task sitting Stuck: a review document nobody uploaded yet. HR clears it, the hire's task unlocks, and they finish it that afternoon. Meanwhile, an administrator sets up the hire's account with a DSP role and links their assigned clients, so their caseload and access are ready before their first scheduled shift.
