# Assigning and tracking staff onboarding

> Assign an onboarding template to a new hire, then track their progress across phases as tasks unlock and get completed by each responsible party.

Onboarding on Enmantle starts from a reusable template. When you assign a template to a person, it becomes their own **checklist** — a set of dated tasks that guides them (and your team) through their first weeks. This guide covers assigning one and tracking it after.

You'll need a template built first. If you don't have one yet, see [Building onboarding templates](/help/onboarding-templates). Assigning is available to admins, directors, and managers.

## Assign a checklist to a hire

1. Open **Onboarding** and go to `Team Oversight`.
2. Find the staff member in the list.
3. Click **Assign** next to their name.
4. In the `Assign Onboarding Checklist` window, pick a template and set a target completion date.
5. Click **Assign**.

That one action does several things at once: it creates the tasks with due dates, auto-assigns any linked LMS courses, emails the new hire, and records everything to the audit trail.

## Read the checklist status

Each person's checklist has an overall status so you can see where they stand at a glance:

- `Not Started`
- `In Progress`
- `Stuck` — something needs attention
- `Completed`

`Team Oversight` is your board for all of these. Watch for anyone sitting at `Stuck`, or with tasks past their due date, and follow up.

## Understand task statuses

Inside a checklist, each task moves through its own stages:

- `BLOCKED` — waiting on another task it depends on.
- `AVAILABLE` — ready to be worked.
- `IN_PROGRESS` — someone has started it.
- `PENDING_REVIEW` — done, awaiting sign-off.
- `COMPLETED` or `SKIPPED` — closed out.

A task that's `BLOCKED` opens automatically once the task it depends on is finished. When that happens, Enmantle shows a toast — "N new task(s) unlocked!" — so you can see the chain moving.

## Tasks belong to different people

Onboarding isn't only the new hire's job. Every task has an `assignedParty` — the role responsible for it. Parties include `New Hire`, `Admin/HR`, `Director of Ops`, `Asst. Director`, `Manager`, `Scheduling`, and `System`.

That means a single onboarding is a shared effort: the hire completes their tasks, HR completes theirs, scheduling completes theirs. Anyone with tasks can open `My Onboarding Tasks` to see the work assigned to their role across every active onboarding.

> Because tasks can depend on each other across parties, order matters. If HR's task is blocking the hire's next step, clearing it is what unlocks them — keep an eye on your own `My Onboarding Tasks` list.

## Keep it moving

Check `Team Oversight` regularly, clear anything at `Stuck`, and complete your own party's tasks promptly so dependent ones unlock. The new hire sees their side in [Completing your onboarding tasks](/help/complete-your-onboarding).
